The notice to give your own customers
Last updated: 24 August 2026
This is a translation. In case of any discrepancy the Italian version prevails.
People who call you have the right to know that an automated assistant answers, that the call is recorded and what happens to their details. Telling them is your job. The text below is already written: copy it, replace {BUSINESS NAME} and you are done.
Why it is your job and not ours
Your customers' data is yours: you collect it, for your own work, and you are the data controller. Idra handles it on your behalf, under the data processing agreement you accepted when you registered. Articles 13 and 14 of the GDPR ask you to inform people, and if someone complains or a regulator asks questions, they come to you.
At the start of every call the assistant says out loud that it is software and that the call is recorded: that sentence is written into the code and cannot be removed. But a spoken sentence cannot be re-read: you also need somewhere written where anyone who wants to can find the rest. It is five minutes of copy and paste, once.
For your website
Put it on the contact page, or inside your privacy policy if you already have one.
«Calls to {BUSINESS NAME} may be handled by an automated phone assistant and may be recorded. We collect your name, phone number, address and a description of the problem only in order to call you back and arrange the work. The service is supplied by Idra (Francesco Vitale, Ramacca CT, Italy), which processes the data on our behalf. The audio recording is deleted after 30 days, the text of the conversation after 12 months. To get a copy of your data, correct it or have it deleted, write to {YOUR EMAIL}: it is free and we answer within one month. Full notice: ciaoidra.com/en/informativa-chiamate»
For your Google Business listing
Goes in the business description, or as a first pinned post.
«If you call {BUSINESS NAME} and we cannot pick up straight away, our automated phone assistant may answer: it tells you so itself at the start. The call may be recorded and your details are used only to call you back. Details at ciaoidra.com/en/informativa-chiamate»
For your voicemail or the sign in the shop
One sentence, to read out on the voicemail or to print.
«Calls to {BUSINESS NAME} may be handled by an automated assistant and recorded; your details are used only to call you back — notice at ciaoidra.com/en/informativa-chiamate»
Check before you publish
- Replace {YOUR EMAIL} with an address you actually read: deletion requests arrive there and must be dealt with within one month, free of charge.
- If you already have a privacy policy on your site, add the paragraph to it rather than opening a new page.
- Do not touch the assistant's opening sentence: if you rewrite the greeting without the announcement, the system puts it back anyway.
- If your business name or email changes, change these texts too.
If a customer asks you for their data and you do not know how to retrieve it, write to info@ciaoidra.com and we will help. What we keep and for how long is set out in full in the privacy policy.
